VAT, billing, and invoice information

This page explains how VAT, billing details, credit purchases, invoices, and customer information are handled on Stampmaker.online. It is designed to help private customers and businesses understand what information may be needed at checkout.

Stampmaker.online sells digital credit packages that can be used to download stamp files. Because these purchases are digital services, VAT and billing rules may depend on your country, customer type, VAT status, and the information entered at checkout.

What you buy on Stampmaker.online

When you make a payment on Stampmaker.online, you are usually buying credits. Credits are added to your account after payment and can later be used to download stamp files such as LBRN2, SVG, PNG, JPG, or G-code.

The stamp editor itself can be used to create and preview designs. Credits are used when you download finished files.

Credit package You pay for a selected credit package at checkout.
Account balance Credits are added to your user account after successful payment.
File downloads Credits are deducted when you download a finished stamp file.

VAT overview

VAT treatment may depend on whether you are a private customer or a business customer, and whether you are located in Romania, another EU country, or outside the European Union.

Customer type VAT treatment What to check
Romania customer Romanian VAT may apply according to the current Romanian VAT rules. Make sure your billing country, name, and invoice details are correct.
EU private customer VAT may be charged according to applicable EU VAT rules for digital services. Enter the correct billing country and personal billing details.
EU business customer with valid VAT number Reverse charge may apply if the VAT number is valid and the transaction qualifies. Enter your company name and valid VAT number during checkout.
EU business customer without valid VAT number VAT may be charged if the business VAT number is missing, invalid, or cannot be verified. Check that the VAT number is written correctly and belongs to the billing company.
Customer outside the EU Romanian/EU VAT may not be charged, depending on the checkout rules and billing country. Your country may still apply local VAT, sales tax, customs fees, or other charges.

The final VAT amount, if any, is shown during checkout before payment.

Private customers

If you are buying credits as a private individual, you should enter your personal billing details during checkout.

Depending on your billing country and applicable VAT rules, VAT may be included or added to the order total. The checkout page will show the final amount before you pay.

Private customer billing details may include:

  • Full name
  • Email address
  • Billing country
  • Billing address, if required
  • Phone number, if required by checkout or payment provider

Business customers

If you are buying credits for a company, please enter the correct business billing details at checkout. This helps us prepare order and invoice information correctly.

Business billing details may include:

  • Company legal name
  • Company billing address
  • Country / region
  • VAT number or Tax ID, if applicable
  • Contact email address
  • Order details and selected credit package

If your company is located in another EU country and has a valid VAT number, reverse charge treatment may apply if the transaction qualifies under EU VAT rules.

To avoid invoice mistakes, enter the company name and VAT number exactly as they are registered.

VAT number validation

During checkout, the website may check the VAT number entered in the VAT / Tax ID field. A valid VAT number can help determine whether reverse charge or another VAT treatment may apply.

If the VAT number cannot be validated, VAT may still be charged according to the checkout rules. This can happen if the number is typed incorrectly, the company is not VAT registered, the validation service is temporarily unavailable, or the VAT number does not match the billing country.

Before submitting your order, check:

  • The VAT number is complete
  • The country prefix is correct, if required
  • The billing country matches the VAT number
  • The company name is correct
  • The VAT number belongs to the billing company

EU business customers and reverse charge

For certain cross-border B2B transactions inside the European Union, the reverse charge mechanism may apply. This means VAT is not charged by the seller, and the buyer may need to report VAT in their own country according to local rules.

Reverse charge generally requires a valid business VAT number and a qualifying transaction. If your VAT number is not valid or not provided, VAT may be charged at checkout.

If reverse charge applies, your invoice may show a note indicating that VAT is handled by the customer under the reverse charge mechanism.

Customers outside the European Union

If your billing country is outside the European Union, Romanian/EU VAT may not be charged for your order, depending on the checkout configuration and applicable rules.

However, your country may still apply local VAT, sales tax, customs fees, bank charges, payment processing charges, or other local obligations.

Customers outside the EU are responsible for checking whether any local tax, import, or payment obligation applies in their country.

Invoices

Invoices may be generated for credit package purchases. Invoice details are based on the billing information entered during checkout.

Please make sure your billing details are correct before completing payment. If the invoice has already been generated, changes may not always be possible or may require manual correction.

An invoice may include:

  • Invoice number
  • Order number
  • Invoice date
  • Seller details
  • Customer billing details
  • Company name, if provided
  • VAT number, if provided
  • Credit package name
  • Quantity
  • Net amount
  • VAT amount, if applicable
  • Total amount
  • Currency

Billing currency

Prices may be shown in different currencies depending on the website settings, customer country, WooCommerce configuration, or selected currency.

The final checkout amount is shown before payment. Please review the total, currency, and VAT amount before confirming the order.

If your billing country is Romania, the checkout may display prices in RON depending on the active currency setup. For other countries, EUR or another configured currency may be shown.

Payment confirmation and credit delivery

After your payment is completed, credits are normally added to your account automatically. If the order remains pending, failed, cancelled, or under review, credits may not be added until payment is successfully confirmed.

If credits do not appear after payment:

  • Check whether the payment was completed
  • Check your account credit balance
  • Refresh your account page
  • Check your order confirmation email
  • Contact support with your order number if the issue continues

Correcting billing details

If you entered incorrect billing details, contact support as soon as possible. We may be able to help before the invoice is finalized.

After an invoice has been issued, corrections may depend on accounting rules, local law, and whether a corrected invoice or credit note is required.

To avoid delays, please check your billing name, address, country, company name, and VAT number before payment.

Refunds and VAT

Refunds, if available, may affect the related invoice, VAT amount, and credit balance. If credits have already been used to download files, refund eligibility may be limited.

If a refund is approved, any related accounting correction will be handled according to applicable rules.

  • The selected credit package is correct
  • The billing country is correct
  • Your name or company name is correct
  • Your VAT number is correct, if applicable
  • The VAT amount is correct, if shown
  • The final total and currency are correct
  • Your email address is correct for order and invoice delivery
